When you use Academic Index, we may collect the following:

Academic Information

  • GPA (unweighted)
  • Transcript details (course names, grades)
  • Standardized test scores (SAT, ACT, AP, IB, etc.)
  • Extracurricular activities and leadership roles
  • Essay excerpts or responses (if submitted)

Personal Information

  • Name (optional)
  • Email address (for scoring results, account access, or beta testing)
  • School name
  • Graduation year
  • Legacy (the universities attended by family members and their relationship to the user, no personal information of the family member)

We do not collect or store any non-essential personal information about you or your family, such as phone numbers, home addresses, or unrelated email addresses.

Technical Data

  • Browser/device info
  • IP address (used only for basic analytics, fraud prevention, and security purposes; stored temporarily)

Note: We do not require or collect your official Common App login, school portal access, government-issued ID, or any sensitive personal documents outside the academic scope described above.

2. How We Use Your Information

We use your data only to:

  • Generate your Academic Index score
  • Provide feedback, summaries, or rankings (if selected)
  • Improve the accuracy and fairness of our scoring system
  • Contact you with updates, features, or support (if you opt in)
  • Optionally, and only with your explicit opt-in consent, display your anonymized score and application highlights (such as intended major or state) on a public leaderboard.

Your academic data may be processed using AI models we operate or securely integrate. We never sell or rent your information, and we only share it with trusted service providers (such as secure hosting or analytics tools) necessary to operate our platform. For any of our own training purposes, all of your data will be entirely anonymized and aggregated. Your AI score and state will never be publicized or shown to anyone else unless you have given unmistakable consent and choose to do so.

3. How We Store & Protect Your Data

  • All data is stored securely on encrypted servers.
  • Transmissions are protected using SSL (https).
  • Industry-standard access controls are in place to prevent unauthorized access.
  • We retain your data only as long as necessary to provide our service, unless you request deletion sooner.

You may request full deletion of your data at any time by contacting us.

You have the right to:

  • Access or update the information you provided
  • Request deletion of all stored data
  • Opt out of non-essential communications
